Woldmarsh is an agricultural buying group with a heritage that dates to 1961 and a membership exceeding 1,000 farmers.
Whilst monthly member invoices are an integral part of the overall offering to their members; the mailing of them had evolved into a project of monumental proportions. This saw a team stuffing, weighing, franking and generally hauling around 20,000 sheets of paper and 1,000 envelopes. The dedicated team were in overdrive, the printer was near meltdown; it was a week lost, for four people, every single month.
Despite the fear factor of a dip in customer service, the need for innovation and automation led Woldmarsh to Systematic. Our mailing services team sought to understand the outcomes and timescales of the monthly mailing project, whilst focusing on efficiency, data security and maintaining that personal touch. The variable brief presents no problems, each month we issue a unique set of approximately 1,000 mailed letters, each with between 1 and 200 pages.
The pressure taken off the team is priceless. They no longer feel like they are always playing catch-up. They also have peace of mind, knowing that their members’ data is being handled in a secure mailing environment. The saving generated by a switch to second class mailing is one benefit reflected in pound signs. The efficiency of the process, with everyone having their statement despatched on the same day, enables the mailed letters to be delivered by a nominated day each month.
